AP/AR Specialist - G. L. Smith Associates

Small interior design firm located in Chevy Chase, MD is seeking someone for the position of AP/AR Specialist. Applicants should have a minimum of 2 years experience in basic accounting/bookkeeping as well as managing client relations. Some knowledge/exposure to the business of interior design would be preferred although not required.


Managing Office Operations

  • Basic tasks such as opening the office promptly, answering phones, checking voicemail and opening mail.
  • Manage printer output and disperse to personnel in addition to maintaining safe and clean office areas.
  • AP/AR Specialist is responsible for receiving packages at the office during business hours and delivering regular mail.

Assisting Lead Designer

  • Schedule vendor representative office visits for designer to review new items and update library.

Interfacing with Clients

  • Welcomes clients or visitors by greeting them warmly, in person or on the telephone, answering or referring inquiries.
  • Promptly and courteously responds to all direct client email correspondence.

Managing Accounts

  • Maintain regular status updates of all client orders by email and/or phone communication with vendors. Includes annotation of purchase orders in project management software or written on hard copy of POs. Requires communication with designer and clients about changes in delivery times for orders placed
  • Manage inflow of vendor invoices and file for processing to client

Accounts payable/receivable

  • Update POs per final vendor invoices and bill clients. Also, issue client statements as needed
  • Receive client checks and process per the office standard practice. Enter and issue checks to vendors for client orders. Manage bank deposits from clients and vendor refunds.
  • Manage overhead bills and issue payment on a regular schedule
  • Complete cash reconciliations for all company accounts.
  • Prepare and release monthly sales tax filings.


Education, Experience Required:

  • Bachelor’s degree Preferred
  • 1-2 years minimum experience in accounts payable/accounts receivable field

Required Technical Skills:

  • DesignManager (Preferred but not required)
  • Microsoft Suite (Word, Outlook, Excel, Powerpoint minimum)

Other Skill Requirements:

  • Able to quickly learn new software appropriate to the business
  • General understanding and knowledge of interior design and general design concepts
  • Solid problem-solving, qualitative and analytical skills required to support design and implement functional elements in a creative fashion
  • Strong interpersonal skills, oral and written communication skills
  • Ability to communicate effectively and foster good working relationships with all members of the project team
  • Independent worker who can prioritize and coordinate various tasks and projects to accomplish timely completion
  • Ability to shift from one project to another quickly without loss of work quality and with minimal supervision
  • Self-directed and motivated, organized, detail-oriented
  • Ability to work flexible or extended hours when required to accommodate increased workload and/or to attend industry related meetings or events in evenings

Starting salary is $50,000.00 w/ six month review. Raises commensurate with job performance.
